Membership and Administrative Coordinator
The Membership and Administrative Coordinator supports the Northwest Cider Association (NWCA) membership and day-to-day operations, serving as a primary point of contact for members and prospective members and ensuring a positive, well-organized member experience. This position manages membership administration, records, recruitment, renewals, communications, website updates, and member support, helping members make the most of their NWCA membership.
The Membership and Administrative Coordinator reports to the Executive Director and works closely with the Marketing and Communications Director and other members of the NWCA team and leadership, providing administrative and logistical support for NWCA programs, events and organizational activities. As part of a small nonprofit, this is a hands-on role requiring strong organization, initiative, flexibility and a willingness to support a variety of organizational needs.
Position Details
Compensation: $22–$26 per hour, depending on experience
Reports to: Interim Executive Director
Status: Part-time, non-exempt; approximately 20–25 hours per week. Hours may flex or increase during event cycles and other periods of high activity.
Location: Remote, within Washington, Oregon, Idaho, or Montana.
Periodic in-person events across Washington, Oregon, Idaho, Montana and British Columbia, including Northwest Cider Symposium in Tacoma, WA (annually in March), Northwest Cider Cup in Portland, OR (annually in June) and Cider Industry Socials (locations vary).
Primary Responsibilities
Membership Management & Member Relations (~50%)
- Serve as a primary point of contact for members and prospective members. Provide timely, professional and friendly customer service. Coordinate new member onboarding, helping members understand and maximize their benefits.
- Manage membership applications, recruitment, renewals, invoices, payments, credits and member records using NWCA’s website and Wild Apricot.
- Format and schedule emails within Wild Apricot.
- Prepare reports and assist with tracking membership trends, engagement and participation.
Communications & Website Administration (~10-20%)
- Maintain and monitor NWCA’s public-facing website, including routine updates to events, member and map listings, news and media coverage, press releases, announcements and event-specific banners.
- Maintain and monitor NWCA’s password-protected member website within Wild Apricot, ensuring member resources, announcements, links and other information remain current.
- Assist with formatting and publishing content developed by the Marketing and Communications Director, Executive Director and other team members.
Member Engagement & Events (~10-20%)
- Represent NWCA and provide on-site support at Northwest Cider Symposium (March), Northwest Cider Cup (June), and industry gatherings (varying). Organize and travel to Cider Socials and other member engagement activities throughout the year, as needed and agreed upon.
- Support event logistics, including registration, venue coordination, vendor coordination, etc.
- Recruit, train and coordinate event volunteers as needed.
Administrative & Organizational Support (~10%)
- Provide administrative support to the Executive Director and NWCA team, assisting with special projects, grant-funded initiatives and other organizational priorities.
- Identify and help implement improvements to membership, communications, events and administrative processes.
Skills & Qualifications
- Strong organizational and problem-solving skills. Exceptional attention to detail. Ability to take initiative, manage multiple priorities and deadlines independently.
- Excellent written and verbal communication skills. Professional and courteous, with a willingness to make phone calls and send text messages and ability to handle confidential and sensitive information with discretion.
- Strong technology skills including: proficiency with Google Workspace. Experience with WordPress, Mailchimp, Wild Apricot or other CRM preferred.
- Familiarity with and enthusiasm for the Northwest cider industry and/or the region’s agricultural, food and beverage communities.
